## What StockY is

StockY keeps your product photos, stock counts, and reservations in sync — built for Instagram sellers and small teams.

StockY was built for people who sell online and offline but still manage stock in spreadsheets, notes, or Instagram comments.

We know the pain of double-selling an item, losing track of sizes and colors, or having a teammate update numbers that never sync. StockY solves that with a clean, photo-first catalog and real-time stock that works on any device.

We keep the product deliberately simple. No complicated enterprise features you don't need — just the tools that help small shops stay organized and sell with confidence.

## What StockY is not

- Not an online checkout, cart, or payment processor.
- Not a marketplace. Each shop is a private workspace with optional public share links.
- Not enterprise ERP. Team size is capped (owner plus up to three teammates).
- Logged-in screens under `/app` are not public documentation.

## Features

- **Photo-first catalog.** Add products with photos, sizes, colors, and prices in seconds.
- **Real-time stock.** Quantities update instantly across your whole team, on every device.
- **Smart reservations.** Hold items for customers with auto-expiring reservations.
- **Low-stock alerts.** Get notified by email or Telegram before you run out.
- **Team roles.** Invite up to three teammates with owner, full, or stock-only access.
- **Sales reports.** Export CSV reports for any date range in one click.

## How shops sell

3. Share a product card or the shop catalog in Instagram Direct, WhatsApp, or Telegram.
4. Reserve stock for the customer (holds expire automatically).
5. Confirm payment, then ship with a TTN (Nova Poshta or Meest).
6. Pack from the Pack screen by typing a SKU — no barcode scanner required.

## FAQ

### What is StockY?

StockY is inventory software for Instagram sellers and small shops. It keeps product photos, stock counts, and reservations in sync across your team — without spreadsheet chaos.

### Does StockY include checkout or payments?

No. Customers browse public product cards or your shop catalog and message you on Instagram, WhatsApp, or Telegram to order. You record the sale in StockY.

### How do reservations and orders work?

Hold a size or quantity for a customer with an automatic expiry so stock does not stay locked. Then move the order from reserved to paid to shipped, and add a Nova Poshta or Meest TTN when you send.

### Can I share products in Instagram Direct?

Yes. Every product has a public link you can paste in Direct. You can also share the whole shop catalog and generate a caption with price and hashtags.

### Can my team use StockY?

Invite up to three teammates. Owner and full access can manage the catalog and orders; the stock-only role is for packing and updating quantities.

### Is StockY free?

You can start for free. Access may include limits such as team size. Paid plans may be introduced later.

### What languages and currencies does StockY support?

The app is available in English and Ukrainian. Shops can price in UAH, USD, EUR, PLN, or GBP.

## Guides

### Getting started with StockY

URL: https://stock-y.com/en/blog/getting-started

Create your account, set up a workspace, and pick a public shop link you can drop into Instagram Direct.

#### Create an account

Open stock-y.com and tap Start for free. You can sign up with email and a password, or continue with Google.

Confirm your email if we send a link, then sign in. StockY will take you to workspace setup.

#### Name your shop

Give the workspace a name customers would recognize — for example Mia's Boutique. Choose a currency (UAH, USD, EUR, PLN, or GBP) so prices show correctly on product cards.

Pick a shop link in English letters, numbers, and hyphens. This becomes your public catalog: stock-y.com/en/s/your-shop. Keep it short so it is easy to paste into Direct.

#### Find your way around

After setup you land on Products. That is your catalog. Owners and full-access teammates also see Clients, Reservations, Orders, Alerts, Team, Reports, and Settings.

If someone joins with the Stock only role, they open Pack instead — a faster screen for looking up a SKU, packing holds, and updating stock.

- Products — photos, sizes, prices, and quantities
- Pack — type a SKU and pack reserved orders
- Settings — shop link, Instagram, WhatsApp, Telegram, and alerts

#### Add your first product

Tap Add product, give it a name and selling price, and upload a photo. You can add sizes and colors later — one item is enough to see how stock, links, and reservations work.

When you are ready for the next step, read how to add products with photos, sizes, and prices.

### How to add products with photos, sizes, and prices

URL: https://stock-y.com/en/blog/add-products

Build a photo-first catalog: upload pictures, add size and color variants, set prices, and track quantity.

#### Open Add product

From Products, tap Add product. Fill in the name and selling price. Cost price and markup are optional — if you enter them, StockY can show profit per unit in reports.

Add a description and tags if you want to find items faster later (for example “silver”, “hoops”, or “new”).

#### Add photos

Tap Add photos to upload from your library or take a photo. The first image is the cover on your public card. You can add more shots and reorder them so the best angle comes first.

Clear photos matter on Instagram: customers often decide from the card you paste in Direct.

#### Sizes, colors, and SKUs

Leave one variant if the item is one-size, or add variants for each size and color with its own quantity. Use UNI when there is no size split.

SKU is optional but useful when you pack: type it on the Pack screen to open that product. It must be unique in your shop. Leave it blank if you do not use SKUs.

- Quantity is the stock you have on hand for that variant
- Available stock goes down when you reserve or mark an item sold
- You can adjust quantities later from the product or Pack

#### Save and share

Save the product. On the product page you can copy the public link for Direct, generate an Instagram caption, reserve a size for a customer, or mark it sold.

Edit anytime if photos, prices, or stock change. Deleting a product removes it and its variants permanently.

### How to reserve items and take orders from Direct

URL: https://stock-y.com/en/blog/reservations-and-orders

Hold a size for a customer, confirm payment, add shipping, and mark the order shipped with a TTN.

#### Reserve from the product page

When a customer asks in Direct, open the product and tap Reserve. Choose the variant, quantity, and how long to hold it. Reservations expire automatically so stock does not stay locked forever.

Enter their Instagram handle. StockY can match a saved client as you type. You can also save name, phone, and shipping in the same step.

#### Keep clients in one place

Clients stores Instagram, phone, city, postal branch, and notes. Link a handle once and later sales attach to the same person — including purchase history.

You can add a client from the Clients page, or while you reserve and confirm an order.

#### Move the order: reserved → paid → shipped

Open Orders to see the pipeline: Open, Paid, and Shipped. Confirm the order when the customer is ready, then Mark paid when money arrives — that sells the stock.

Add a TTN (Nova Poshta or Meest waybill) and Mark shipped. You can search orders by handle, SKU, city, or TTN.

- Reserved — item is held, stock is not available to others
- Paid — sale is recorded and quantity is sold
- Shipped — tracking number is saved
- Cancel — releases the hold if the customer drops off

#### Watch expirations

Reservations lists every active hold. Use it when someone asks “is my size still aside?” Expiring soon and expired rows help you follow up or free the item.

You can also release a reservation from the product or Pack if plans change.

### How to share product cards and your public shop

URL: https://stock-y.com/en/blog/share-product-cards

Copy a link for Direct, set Instagram / WhatsApp / Telegram buttons, and generate a caption for your post.

#### Copy the product link

Every product has a public URL such as stock-y.com/en/s/your-shop/layered-choker. Open the product and tap Copy link for Direct — then paste it in the chat.

The customer sees photos, price, sizes, and whether the item is in stock, without needing a StockY account.

#### Share the whole shop

Your shop link (set during onboarding, editable in Settings) opens the full public catalog. Use it in your Instagram bio or when someone asks “what’s in stock?”

You can change the shop slug later, but old links will break — pick a name you can keep.

#### Buttons on the public card

In Settings, add your Instagram handle so cards show Write in Direct. Turn on WhatsApp or Telegram and fill the phone or username to show those buttons too.

Team low-stock alerts are separate: those notify you, not the customer.

#### Generate an Instagram caption

On a product, tap Generate caption. StockY drafts a post-ready caption with price and hashtags. Copy it, then attach the public link in Direct or in the post.

Set a share source when you reserve or confirm (Instagram, WhatsApp, Telegram, shop link, or other) if you want Reports to show where sales come from.

### How to pack orders, look up a SKU, and work as a team

URL: https://stock-y.com/en/blog/pack-and-team

Use Pack to find a product by typing its SKU, invite teammates with the right role, and turn on low-stock alerts.

#### Find a product by SKU

Open Pack to see active holds, items to pack, low stock, and recent sales. Type the SKU by hand and press Enter — StockY opens that product so you can pack, adjust quantity, or check the reservation. You do not need a barcode scanner.

Stock-only teammates land here first. It is built for a phone in the warehouse, not for editing the whole catalog.

#### Invite your team

Go to Team and invite up to three people besides the owner. Send the email invite, or copy the invite link if email delivery fails.

Pick a role that matches the job:

- Owner — full control, including workspace settings
- Full access — products, stock, clients, orders, and team
- Stock only — quantities, reservations, and packing

#### Low-stock alerts

Set a low-stock threshold in Settings. When a variant drops to that level, it appears under Alerts.

Turn on email alerts and, if you want, Telegram alerts with the chat ID from @userinfobot. These are for your team, not customer buttons on public cards.

#### Check reports

Reports shows revenue, cost, profit, and units sold for a date range. Export CSV when you need a spreadsheet. Insights highlight top products, dead stock, top clients, and sales by share source.

You can also download a full JSON backup from Settings if you want an offline copy of products, clients, orders, and stock history.
